What it does
Checked before every refund the till pays: the methods that did not pay the sale are dimmed, with your reason.
What it does
- Refund by the sale's own methods: the methods that paid it, your store credit and any you always allow stay; the rest are dimmed.
- None of them can be used at this till: the refund is refused, and the cashier gets a manager.
- A return without its sale: only the methods you name and store credit (none named, while the box above is ticked: those you always allow).
- Store credit is never taken off, so exchanges go on; at a till with a drawer a cheaper exchange pays cash, refused if the rule leaves cash out.
How to set it up
- Make the app's user: tick Is Desk User, give it only the role IVENDNEXT RFR Integration (the install makes it), no User Permissions; generate its API key.
- In IVENDNEXT RFR Settings, make the record Default: tick Refund by the sale's own methods, choose your Store credit method (keep one of type Store Credit enabled), add any Always allowed and Without its sale methods.
- On each POS Profile the rules hold at, tick Allowed in Returns for store credit and each card method a refund may go back to: the rules only take methods away.
- On IVENDNEXT RFR Settings feed choose that user as Application User. In Retail Extension Subscription open Refund rules: read what it sends, tick the consent, choose its POS Profiles, switch it on. Last, in the App library open Details and press Connect again.
Good to know
- At every Pay and refund the sale goes to refund-rules.ivendnext.app (CitiXsys, US), with the cashier, the customer, the sale's details, the methods offered and on a refund the sale it refunds and how it was paid. It reads your settings, writes nothing, keeps no sale.
- No answer in 3 s, or a key not yet sent by Connect again: the refund goes on, flagged for review. Must never refund outside the rules? Set the down answer to Refuse after Connect again.
- It names methods, never amounts: the cashier splits a refund between the methods kept.
- A POS Profile takes at most three checks, 10 s together. Not checked: a return sent to a register, a refund made in Desk. The cashier reads the app's English sentences.
